Administration
Yes. Access to your ReviewStudio account is through a private login page (the URL will be http://YourCompany.ReviewStudio.com) that you may customize with your company logo and brand colors if you wish. Your name or logo also appears on the access page of any Reviews that you share with others. For further customizations, reach out to our support team.
During your registration, you will be asked to enter a subdomain, such as your company name. To access your private branded portal, enter https://yoursubdomain.ReviewStudio (replacing “yoursubdomain” with the subdomain you chose during registration). You can also access your portal site by clicking “Login” on the ReviewStudio website or clicking on this login link.
You can start by watching our online tutorial videos. Our Help Center provides instructional articles and a comprehensive knowledge base. You are also welcome to schedule a free online training session where we’ll take you through the application and discuss any specific creative workflow issues that may be relevant to your situation.

Both solutions provide the same ReviewStudio functionality to review, annotate and approve a wide range of digital media files. The primary difference is that the SaaS solution is hosted by ReviewStudio (on AWS) and provides all the backend support to upload, process, store and serve the data files being reviewed. The development effort required to integrate with our SaaS is generally faster and easier to undertake than using our SDK.
The SDK consists of our Review Canvas web client and server software that can be installed “in-house” and fully integrated into any existing CMS or BPM platform. With this solution, all the user, media and workflow management is handled by the supporting platform. Our SDK offers more advanced customization and configuration options to support whatever business logic and security profile is required. More here: Enterprise, Integrations, Security

Integrations
Yes. We offer an open API to allow you to integrate with the platform of your choice. We currently offer integrations with Asana and Monday. Alternatively, you can use Zapier or Integromat to easily automate workflows between ReviewStudio and thousands of other supported applications. Yes. It is available for accounts at the Studio plan level and above. If you are interested in activating the API key and webhooks for your account or reviewing the documentation, please reach out to our support team.
We provide direct access to our API developers to help you spec and implement your integration project. We are constantly updating our APIs and Zapier implementation to add functionality that customers request. Please reach out to our support team to discuss your project.
Payments & Billing
ReviewStudio can be paid for on a monthly basis. On a monthly plan, you may upgrade, downgrade, suspend, or delete at any time from your Account Settings page or by reaching out to support. Upgrades will take effect immediately, and you will be charged a prorated fee for the current billing period. Downgrades or cancellations will take effect at the end of your billing period.
If you choose to go with an annual plan, you are charged a yearly fee that will renew annually. You can cancel your annual plan at any time, and no further charges will be accrued. We do not offer partial refunds on annual plans.

Yes. We can configure a custom plan that provides additional users, storage, or other add-ons you require. Please contact support to help you get set up.
Yes, we offer discounts when you choose an annual plan. When subscribing, select the annual payment option. Note that we do not provide partial refunds on annual plans. If you choose to upgrade, you will be charged a prorated amount for the balance of your term, with the renewal at your new plan level.
We offer nonprofits and charitable organizations a 10% discount. Contact support to help set that up.
To suspend or delete your account, please reach out to support.
We accept Visa, MaterCard, or American Express. Purchase orders and bank payments are accepted only for annual subscriptions or enterprise sales over $500. If you need to discuss other arrangements, please contact our support team.
You can access your invoice and billing history from your Account Settings > Subscription page.
Proofing Tools
If you upload a document that contains text, the toolbar will show enabled text markup options. These include highlight, select, delete, underline and insert. You can also copy/paste the selected text into a comment to indicate edits. More here: Reviewing Document Formats and PDF Content
All feedback can be turned into revision requests by converting them to tasks and assigning them to specific users. From the main Dashboard, these users can quickly find any open tasks assigned to them across all Projects and all Reviews. Within a Review, users can filter the comments to show only their open tasks (as tasks are marked as completed, they will be hidden from the list). Admins can also keep track of the progress of task completion by all users across all Projects. More here: Task Management
Every comment has a Set Task option below it. Simply set it as a task and then choose the user you want to assign it to from the dropdown menu. Users can easily find and track any tasks assigned to them from their Review Dashboard.
Using Compare Mode, you can review any two files or versions of a file side-by-side that are in the same Review. For full details, have a look here: Compare Mode
At any time, you can create a print-ready archive of all the feedback and approvals given on a file. Select the “Prepare Print Page” option on the Review Canvas to print or save the page as a PDF file. You can also batch download or print multiple files using the grid view option. Our approach to watermarking content, without reducing the quality of the content experience, is to disable the “Download” button in a Review that prevents a user from downloading the original file being displayed in the Review Canvas. You can embed a watermark prior to uploading your file.
Reviews
Absolutely. Non-admin users can only see and access the Clients, Projects and Reviews that you explicitly share with them. For Collaborators who have permission to create new Reviews and upload files, you can also limit the specific projects that they can see/access by creating project teams. Yes. From the Dashboard, you can select “Copy” from the action menu of the Review you want to copy. You will then have the option to name the copy and select if you want to copy only the files (no annotations) and only the most recent versions.
A Review can be thought of as a proofing “folder”. Regardless of format or size, you can put all the files to be reviewed together in one Review so that they can be reviewed and approved together as a collection.
We built ReviewStudio to be responsive with a UI layout that adapts to your device screen size. We do not require the download of an app - all the relevant functionality works on any up-to-date mobile browser.
Reviews are organized by Project. A Project may contain any number of Reviews - each of which may contain any number of files. Projects can also be organized by another category of your preference, such as Clients, Teams, Brands, etc. This 4-level hierarchy provides considerable flexibility for organizing Reviews.
If you are a user with permission to create a Review, you will see a “+ New Review” button on your Dashboard. There you can define your Review settings and upload your file(s). More here: Creating a New Review: Uploading Files and Review Settings
The status of a Review can be set on the Review Card from the main Dashboard. The status can be set as Active, Inactive, or Locked. Inactive will prevent access to the Review by any users. Locked will allow view-only access (with no modification or addition of additional feedback).
You can use Labels to categorize your Reviews. Labels are like folders but with a twist - you can apply several different Labels to a Review and then later find the Review by clicking on any of its Labels from the navigation sidebar. You can also search by Label. Using Review Labels
ReviewStudio is an HTML5 application that runs from most current web browsers, including Chrome, Firefox, Safari, and Edge (note that Internet Explorer is not supported). You can use ReviewStudio from an iPad and other tablets using one of the browsers indicated above.
A Review consists of one or more files that you want to have reviewed and approved together. There is no limit to the number of files that may be in each Review (which may also include unlimited file versions). Your Review limit depends on your plan. The permissions to create Reviews and upload files are determined by the role set for each user. Collaborators can create and add files to Reviews in Projects and Reviews they are a part of. Reviewers can only add files to the specific Reviews that have been shared with them.
Security & Privacy

ReviewStudio provides a number of ways that you may protect and restrict the content you post. With multi-user plans, you may also assign and restrict Reviews only to particular users. For guests, who have unauthenticated access, you have the option to password-protect the Reviews you share. You can also enable 2FA or SSO login. All our infrastructure is hosted on Amazon Web Services (AWS), and our technical measures are in full accordance with AWS Compliance as described at https://aws.amazon.com/compliance/ . AWS security controls are described at https://aws.amazon.com/compliance/data-center/controls/ . All data is processed and stored on AWS servers and S3 storage. Ongoing hardening is implemented through upgrades to OS, upgrades to the Rails framework, and ongoing security scans by Cloud 66. All data transferred in our platform utilizes HTTPS. Data at rest (with the exception of passwords) is not encrypted.
We provide 256 bit SSL Encryption. We are AWS Hosted and security compliant. We can provide an Audit Trail. Our Security layer is validated for the following compliance requirements: PCI, ISO 27001, HIPAA, GDPR, SOC. We also offer a 99.99% uptime guarantee available with SLA. We would be happy to work with any IT department to complete a security questionnaire.
Sharing & Notifications
Yes. Each user can set their notification preferences in their user profile. You can determine which notifications you wish to receive (new comments, tasks, approval decisions) and the frequency that you would like to receive them (immediately, hourly, daily, or never).
After you upload the files to the Review, you can go to the Share menu to select the users and guests you want to share it with. You can then use the “Notify” tab on the Share menu to send out an email notification to any or all the users and guests you specify. As an alternative to this notification email, you can copy/paste and share the Review link. Review Sharing / Message Templates for Notifications

If you received a link in your email, click that link and follow the steps.
Enter your subdomain which was set up when your account was created (yourcompany.reviewstudio.com).
You can click “Login” on http://ReviewStudio.com in the top right corner or go to app.reviewstudio.com and follow the steps. Input your Subdomain in “yourcompany” field.
Uploading Files & Content for Review
There is no file size limit. Note that as a web-based application, large file sizes can impact load times based on the internet download speeds of the reviewer.
No. Our website proofing requires no extensions to simplify the reviewing process for clients and teams. You can either upload your HTML as a .zip file or enter the URLs of the pages you want to import.
You can add files from the Edit menu of a Review. You can select and upload multiple files at the same time by using the “Upload” button. Files with the same filename as existing files will be automatically uploaded as a new version of the existing files (there is also an option to overwrite). Individual new file versions can be added to any existing file using the Action menu on the File card by clicking “Upload New Version”. Creating a New Review: Uploading Files and Review Settings

User Management
To add external users to a Review, they will either need a user account (such as a Reviewer or Collaborator) or a guest account. For many situations, the guest account can be sufficient. Users, however, have more options with notifications and receive digests, as well as having access to a dashboard. With Guests, you need to send an explicit notification.

If you are designated as an Approver, you will see a “Submit Decision” button in the Review Canvas for each file that is included in the Review. The default options include “Approve”, “Approve with Changes”, or “Revisions Required”. Note that these options may be customized for each account. There is only a limit to how many total users you can have under each plan, but there is no limit to the role that each user can be assigned.
User limits will depend on your subscription plan. You can view your user limit on your Settings > Subscription page. Note that you can add additional users to any plan by reaching out to our support team. Guest users do not count against user limits.
A User is someone who is authenticated to log in to your company’s ReviewStudio site to create, manage, and work on Reviews. User Roles establish the level of permission different users have within the application. Admins have full access to see and manage all Reviews across all Projects and to access general account settings. Collaborators and Reviewers only have visibility and access to the specific Projects and Reviews that are explicitly shared with them. The difference between a Collaborator and a Reviewer is that Collaborators can initiate new Reviews in Projects they can access.
All plans in ReviewStudio also provide the option to share individual Reviews with an unlimited number of “Guest” reviewers.
Allowing guest access provides a fast and easy way for you to share specific Reviews with anyone simply by sharing the Review link (a guest password is optional). As with any user, guests can provide feedback and approval actions on your Review files. All our plans allow you to share your Reviews with an unlimited number of guests.
Typically, you would create user accounts for internal and external collaborators who are involved on an ongoing basis with your projects while sharing Reviews with clients as guests.
Some organizations prefer to create user accounts for their active clients as doing so provides authentication and offers them some advanced features not available to guests (i.e., a Dashboard of their active Review links and automated project notifications).

Any user can be designated as an Approver on any Review. There may be multiple Approvers on a Review. You can designate Approvers from the Review Share menu.
Guests can also be designated as Approvers, but it’s either all or none.
